The challenge

An area manager walks a shop with a list: the shelves, the chiller, the till, the hygiene. The round itself takes half an hour. The work is in what comes after. The form disappears into a folder, the photos stay on someone's phone, and whatever was out of order has to be remembered and passed on. Three months later nobody knows whether that fridge was ever fixed.

The existing options are either a spreadsheet nobody maintains or a heavy package that charges per user per month and needs a consultant. Nothing in between.

The hard part is not filling it in. It is finding it back. A score only means something next to last month, next to the other shops in the same city, and next to the same question across the whole network. And it has to work on a phone in a shop, where the wifi drops out between the freezers.

The approach

Built entirely by me in PHP, with my own structure and no framework or Composer. It runs in the browser, on a phone or tablet too, so nobody has to install anything.

The inspection is the core. You pick a shop, its checklist appears, and you work through it question by question: in order, not in order, or not applicable. Every answer can carry a photo. Anything out of order immediately becomes an action point with an owner and a deadline, so it does not live in someone's head. Ticking it off needs a photo.

On top of that sits the layer that gives the work meaning. Every inspection gets a score, every shop a row of dots showing how it moves, every city an average. Reports come out as PDFs with the client's logo on them, per inspection, per shop or per region, ready for head office. The app also reads the answers across all shops together and flags it when four of them drop on the same question, because then it is rarely the shops.

It is multi-tenant from the ground up. Every company is walled off, every query filters on the company you are working in, and no URL carries a database id. On top of that: four roles with their own permissions, email invitations, two-factor login with backup codes, a log of every action, and an error alerter that emails me before the client notices.

Billing runs through Stripe, with four plans and a customer portal. Prices live in one place in the code, so the sales page and the invoice can never drift apart. Every Belgian postcode is in there, so shops sort themselves into a city and a province without anyone typing it.

The result

A finished SaaS that is live, from the sales page to the invoice. Three ready-made checklists to start with, a free plan to try it, and a test suite of 568 checks that runs again on every change.

Mobile first, because that is where the work happens: phone in hand, between the shelves.
